Position Summary
We are seeking a Bilingual Administrative Assistant (English/Spanish) who is highly organized, detail-oriented, and proactive. This role plays a key part in ensuring smooth office operations, maintaining strong client communication, and supporting administrative processes. The ideal candidate will be fluent in both English and Spanish and have excellent multitasking and organizational skills.
Key Responsibilities
- Greet clients and manage front desk operations (in person, phone, and email) in English and Spanish
- Translate documents, emails, and conversations between clients and staff
- Schedule and confirm client appointments and manage office calendars
- Assist with preparation and filing of tax, payroll, and accounting documents
- Maintain and organize confidential client records
- Handle incoming and outgoing correspondence (mail and electronic)
- Support billing, invoicing, and payment follow-up
- Assist with client onboarding by collecting documents and providing instructions
- Maintain office supplies and ensure equipment is in good working order
- Provide administrative support to accountants, payroll specialists, and management
Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- Previous administrative assistant or related experience
- Fluency in English and Spanish (verbal and written) required
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
